Privacy Policy for DrillSync

DrillSync(“the App," "we," "us") is a tool for marching bands, drum corps, and color guard to design drill, run a synchronized metronome, map tempos, and manage rehearsal attendance. This policy explains what information the App collects, how it is used, and your choices. By using the App you agree to this policy.

Information We Collect

We collect only the information needed to operate the App:

• Account information. When you create an account you provide an email address and a password. Your password is never stored in readable form — it is protected using industry-standard hashing (PBKDF2) and cannot be recovered by us.
• Profile information. A display name and your role within a band (for example director, staff, section leader, or member).
• Band and rehearsal data. Bands (groups) you belong to, drill/show data you create, tempo maps, event schedules, and attendance records you or your band's staff enter.
• Device information. A device identifier used to keep you signed in across the devices you use with your account.
• Location (only for attendance check-in, and only if enabled). If your band's staff turns on location verification for a rehearsal, and you grant permission, the App uses your device's location to confirm you are at the rehearsal site when you check in and to detect when you leave. Your precise coordinates are used only to make that check and are not stored — we keep only the result (for example "present" or "left"), never your latitude/longitude or any location history. If location verification is off for an event, or you do not grant permission, the App does not access your location.

We do not collect your contacts or advertising identifiers, we do not track you across other apps or websites, and the App does not include third-party advertising or analytics/tracking SDKs.

How We Use Your Information

• To create and secure your account and sign you in across your devices.
• To provide the App's features — drill design, live metronome sessions, tempo maps, band membership, roles, and attendance tracking.
• To share the necessary information with other members of your band (for example, your display name, role, drill data, and attendance) so the group can collaborate.
• To maintain the security and reliability of the service.

How Your Information Is Shared

We do not sell your personal information, and we do not share it with third parties for their own marketing. Information is shared only:

• With your band. Data you create or that identifies you within a band is visible to other members and staff of that band, according to their role.
• With our infrastructure provider. App data is stored on our backend database service (SpacetimeDB) solely to operate the App.
• When required by law, or to protect the rights, safety, and security of our users and the service.

Data Retention

We retain your information for as long as your account is active. You may request deletion of your account and associated personal data at any time (see Contact below), after which we will delete it, except where retention is required by law.

Security

We use reasonable technical measures to protect your information, including password hashing and encrypted connections (HTTPS/TLS) between the App and our servers. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Children's Privacy

DrillSync is used by members of school and community performing ensembles, which may include minors, under the direction of their band's staff. The App is not directed to children under 13, and we do not knowingly collect personal information from children under 13 without appropriate consent. If you believe a child has provided us information without proper consent, contact us and we will remove it.

Your Choices and Rights

• You can access and update your profile information within the App.
• You can request a copy or deletion of your personal data by contacting us.
• Depending on where you live, you may have additional rights under laws such as the GDPR or CCPA; contact us to exercise them.

Changes to This Policy

We may update this policy from time to time. Material changes will be reflected by updating the "Last updated" date above and, where appropriate, notifying you within the App.
